Billing Manager

Job Summary

The billing manager is responsible for managing the billing / accounts receivable department and related activities. This includes maintaining and reviewing billing activity across two software systems and working collaboratively with accounts receivable staff to determine all accounts receivable processes are performed accurately and in accordance with company policies. The billing manager is also responsible for working with the sales team to assist in contract pricing.

Candidate Profile

  • Education: Bachelor’s degree in accounting or finance
  • Experience:
  • 1 or more years of applicable work experience.
  • CPA designation preferred, but not required.
  • Public accounting experience is preferred, but not required.
  • Knowledge of Sage Intacct accounting software is preferred, but not required

Skills

  • Detail Oriented
  • Ability to read and understand a general ledger
  • Ability to build and post journal entries in the accounting software
  • Comfort with speaking to customers on the phone
  • Good critical thinking skills to help identify issues with customer accounts / billing
  • Strong Organizational Skills
  • Proficiency in Microsoft Word and Excel
  • Good Time Management and Multitasking Skills
  • Ability to work with others across the organization

Core Work Activities

  • Manage entire billing, accounts receivable, and collections process. This includes:
    • Reviewing customer contracts to determine billing terms and amounts to be invoiced.
    • Working with the sales team to determine historical pricing for contract updates.
    • Reviewing customer set up in accounting software to determine the customer was set up accurately.
    • Managing the sales order process, including set up of recurring sales order transactions.
    • Answering internal and external questions about invoicing.
    • Reviewing aged accounts receivable and identifying items that require advanced collections procedures.
    • Placing “hold work” notices on customer accounts that are delinquent.
    • Billing installment customers.
    • Reviewing customer vendor forms and assisting in their completion.
    • Managing third party vendor portals required by our customer base.
    • Assisting with posting payments to customer accounts.
    • Assisting with weekly invoicing when accounts receivable clerk is absent.
  • Manage the deferred revenue process:
    • Maintaining the schedule of customers with deferred revenue.
    • Determining when work is completed and moving the balance to revenue.
    • Reviewing items that are lingering on the schedule and determining if they should be written off.
  • Assist in month end close:
    • Reconciling the accounts receivable sub ledger to the general ledger at month end.
    • Reviewing production activity to determine if there was any missed billing during the month.
    • Completing the installment customer reconciliation each month.
    • Reconciling the deferred revenue schedule to the general ledger each month.
    • Maintaining the SAAS schedule and posting journal entries for revenue each month.
    • Reviewing commissions and sales activity each month 
  • Additional Responsibilities
    • Performs other duties, as assigned, to meet business needs.
    • Train team members in areas of need
